The Opportunity
We are recruiting an Administrator to support an important document review and standardisation project within a Health & Safety function in Dumfries.
The role will focus on reviewing and transferring existing procedures and risk assessments into a new standardised Excel-based format, ensuring documentation is accurate, consistent and appropriately controlled.
This is an excellent opportunity for an experienced administrator who is highly organised, comfortable working with Microsoft Word and Excel, and takes pride in producing accurate, high-quality documentation.
Key Responsibilities:
- Transfer existing procedures and risk assessments from Word and Excel into new standardised templates.
- Accurately copy and format text, images and supporting information within the required document formats.
- Ensure documentation is completed in line with project requirements and company standards.
- Save, organise and maintain documents within the designated document library and filing structure.
- Liaise with the Health & Safety team to clarify information and resolve document-related queries.
- Review completed documentation for accuracy, consistency and completeness.
- Support the ongoing document review and update programme as required.
- Maintain confidentiality and ensure document control procedures are followed at all times.
- Manage a high volume of documentation whilst maintaining a consistent and accurate approach.
About You
We are looking for a methodical, detail-focused Administrator who is comfortable working with large volumes of information and following established processes.
You will ideally have:
- Previous experience in an administrative role involving document management or data processing.
- Strong working knowledge of Microsoft Office, particularly Word and Excel.
- Excellent attention to detail and a high level of accuracy.
- Strong organisational and time management skills.
- The ability to manage a high volume of documentation and prioritise workload effectively.
- Good communication skills and the ability to work collaboratively with colleagues.
- The ability to follow processes and maintain consistency across large volumes of information.
- A self-motivated and dependable approach to work.
- The ability to work independently whilst also contributing effectively as part of a wider team.
- The patience and concentration required to undertake repetitive document-based tasks without compromising accuracy.
- Experience working with controlled documents, procedures, technical documentation or document management systems would be advantageous, as would previous experience supporting Health & Safety, Quality or Compliance functions.
The Opportunity
This is a 3–4 month temporary assignment, working 37.5 hours per week, Monday to Friday, based in Dumfries, Scotland.
The role would suit an Administrator looking for a focused project-based assignment where attention to detail, organisation and document management skills are essential.
